    Job Description:

    Primary Responsibility: To perform all typing, clerical, filing, statistical tabulation in regards to student records, college applications, and Guidance Office correspondence; to assist with student scheduling by compiling lists, numbers, course selection sheets, and other data and recording, copying and updating student schedules, requests for changes and class lists and numbers.

    DUTIES AND RESPONSIBILITIES:
    1. Clerical:
      · Responsible for the typing and mailing of guidance correspondence
      · Arrange appointments and maintain a daily activity schedule for the guidance counselor and college counselor.
      · Maintain an effective filing system for the guidance office and see that files are placed in correct order and that copies of relevant materials are filed in the system.
      · Prepare, maintain and update academic transcripts for all upper school students on a regular basis.
      · Open new student files and organize incoming records for new students.
      · Prepare transcripts and other documents for transferring students.
      · Calculate the grade point average (GPA) and record on transcripts on a trimester basis.
      · Prepare final transcripts for students withdrawing from ASM and provide transcripts on request for ASM alumni.
      · Maintain Transcript Request Form listing records requested and when/where they are sent.
      · Make grade changes as appropriate in the database.
      · In conjunction with the Upper School Secretary, check comments and grades on grade sheets and handle the printing and copying of these for grades 9-12.
      · Maintain and communicate up-to-date information on students entering and withdrawing from ASM.
      · Be responsible for the preparation and accuracy of office records and evaluation reports of standardized test results.
      · Arrange teacher/parent conferences when requested by either teachers or parents.
      · Supervise distribution of lockers to all upper school students.
      · Enter attendance data for students in grades 9-12 on a daily basis; call parents of absent students if the parent has not contacted the school about the absence.

    2. College/Guidance activities:
      · Collect, maintain and organize the statistical data provided on the school profile.
      · Set up appointments with students-parents-counselor when requested.
      · Order and update appropriate guidance and college counseling handbooks, catalogs, standardized test materials, etc., as needed.
      · Maintain the confidentiality, collect all necessary material and handle the mailing of all college applications.
      · Forward a mid-year and final-year report to colleges to which students have applied.
      · Maintain College Accountability forms and ensure that they are complete and accurate as part of general organizational responsibilities and college application process
      · Work with the college counselor to enter data in Naviance and maintain up to date records for each student with regard the progress of college applications, GPA information, test score information, etc.

    3. Scheduling:
      · Print student schedules at appropriate times (at the beginning of each trimester, as appropriate)
      · Update student schedules, requests for changes, as needed.
      · Produce class lists and up-to-date class counts as needed.

    4. Others:
      · Manage weekly and monthly announcements from Guidance Office for ASM's regular publications.
      · Handle all incoming and outgoing telephone communications for guidance office.
      · Prepare and correct of Senior graduation list, graduation program and diploma and flag order.
      · Assist with preparation of graduation ceremony (ordering flowers, refreshments, invitations, etc.)
      · Prepare of Cum Laude and National Honor Society lists and reports.
      · Communicate with Spanish-speaking parents and staff and those needs and requests to Guidance Counselor; expedite requests to maintenance and support services.
      · Type, photocopy and collate tests and written materials for Guidance Counselor's instructional responsibilities.
      · Assist with new student orientation and "buddy" program.
      · Other duties as assigned by Guidance Counselor with the approval of the Upper School Director.

    PREFERRED QUALIFICATIONS:
      · Good public relations skills and ability to handle confidentiality with discretion and sensitivity.
      · Ability to work independently and handle all communications and requests from the Guidance Counselor.
      · Excellent secretarial and organizational skills and ability to work with deadlines.
      · Knowledge of word processor, spreadsheet and ability to access, record and collect information from computer.
      · Bilingual English/Spanish.
